The county’s trial court — the 19th Judicial Circuit — operates out of the Cole County Courthouse at the corner of High and Monroe Streets in downtown Jefferson City. Four judges (three circuit judges and one associate circuit judge) preside over civil, criminal, probate, and juvenile matters. The Circuit Clerk’s office is the central repository for all court filings and records generated by these divisions. A separate Jefferson City Municipal Court processes traffic and local ordinance violations. How to Look Up a Court Case in Cole County?

The most direct way to research a Cole County court case is through the Missouri judiciary’s Case.net portal. The system allows searches by litigant name, case number, filing date, or scheduled hearing date. Users can narrow results by selecting the 19th Judicial Circuit (Cole County) and filtering by case type — civil, criminal, domestic relations, or probate. Results display docket entries, charges, judgments, sentences, attorney information, hearing schedules, garnishments, and service data.

Steps to search on Case.net:

  1. Visit the Case.net welcome page and select a search method (case number, litigant name, or date).
  2. Choose “Cole” as the participating court or county.
  3. Enter the party’s name, case number, or other identifying details.
  4. Review the returned docket, including filed documents, scheduled events, and dispositions.

For records not available online, the Circuit Clerk’s office accepts in-person and mail requests.

Walk-in visitors can review case files at the clerk’s counter during business hours. The Jefferson City Municipal Court handles traffic tickets and city ordinance violations. Municipal court cases from July 1, 2021 onward are searchable on Case.net; earlier records (January 2010 through June 2021) may be available through a separate third-party archive referenced on the municipal court’s website.

Are Court Records Public in Cole County?

Court records generated by the 19th Judicial Circuit are presumed open to the public. Missouri Court Operating Rule 2.02 establishes a general policy favoring public access to judicial records. Missouri’s Sunshine Law (Chapter 610, RSMo) reinforces this presumption for records held by public governmental bodies, though its application to courts is limited to administrative records rather than adjudicative files.

Notwithstanding the general presumption, Rule 2.02 Part C identifies categories of information that must be treated as confidential and cannot be released to the general public:

  • Names and identifying information of minors involved in proceedings
  • Details about confidential informants, victims, witnesses, and individuals named in protection or restraining orders
  • Financial data such as bank account numbers, credit or debit card numbers, PINs, and online banking credentials
  • Government-issued identification numbers, including Social Security numbers, passport numbers, and driver’s license numbers
  • Records placed under seal by court order

Additional categories of restricted material include active law-enforcement investigation files, juvenile court proceedings, and certain domestic matters such as paternity and child-custody cases (though case parties and their attorneys retain access to their own files). Attorneys and litigants bear the responsibility of redacting confidential information before filing documents with the court. Anyone who believes a record has been improperly withheld can file a motion requesting judicial review of the access determination.

Cole County Criminal Court Records

The Criminal Division of the Circuit Clerk’s office maintains records for all felonies, misdemeanors, and infractions prosecuted by the Cole County Prosecuting Attorney’s Office or returned by a grand jury. A felony carries a potential sentence exceeding one year of imprisonment; a misdemeanor carries up to one year; an infraction is punishable only by fine and covers many traffic violations.

Arrest Records and Law Enforcement Resources

The Cole County Sheriff’s Office provides information on individuals currently held in its custody. The office operates an online inmate search tool that accepts entries by name, subject number, booking number, date range, or housing facility. Results include charge descriptions, offense dates, docket numbers, booking dates, bond amounts, arresting agency, and scheduled release dates.

For arrests within Jefferson City limits, the Jefferson City Police Department is the appropriate contact. Highway-related arrests in the area are handled by the Missouri State Highway Patrol’s Troop F, headquartered at P.O. Box 568, Jefferson City, MO 65102. The patrol publishes recent arrest information on its arrest report search page, where users can filter by county, troop, date, and arrestee name. Statewide Criminal Background Checks

The Missouri State Highway Patrol’s Criminal Justice Information Services (CJIS) Division conducts criminal history searches through the Missouri Automated Criminal History System (MACHS). Two types of checks are available:

  • Name-based search: Requires the subject’s name and personal identifiers. The fee is $15.00 plus a small convenience fee. Results are returned electronically and show possible matches from statewide criminal history records.
  • Fingerprint-based search: Provides exact identification and is required when mandated by state or federal law (for employment licensing, adoption, concealed-carry permits, etc.). As of April 2026, the total fee for a combined state and FBI fingerprint-based background check is $44.00. Applicants must visit an authorized fingerprint vendor to submit prints electronically.

Cole County Civil Court Records

The Civil Division of the Circuit Clerk’s office handles lawsuits involving the enforcement of private rights, monetary disputes, personal injury claims, and other actions between private or public parties. The Associate Civil Division manages small claims (amounts up to $5,000) and civil actions up to $25,000, while the Circuit Civil Division handles larger cases.

Property Records

While not court records per se, property documents are frequently relevant in civil litigation. Cole County maintains several avenues for property research:

  • Assessor’s Office: The Cole County Assessor calculates property valuations and offers an in-office computer terminal for database searches. The office also provides a free interactive mapping tool through MidMOGIS for locating parcels and reviewing property details.
  • Collector of Revenue: The Collector’s Office maintains tax payment histories and property details. Its online property tax inquiry portal allows searches by parcel number, account number, or owner name.
  • Recorder of Deeds: The Recorder of Deeds office maintains land records, deeds, deeds of trust, plats, and surveys. Cole County Family Court Records

Family-law matters in Cole County — including dissolutions of marriage (divorces), child custody, child support, paternity, personal protection orders, adoptions, parental consent waivers, and emancipation — are processed through the Civil Division of the Circuit Clerk’s office. The Juvenile Division handles cases involving abused or neglected children under 18 and juvenile delinquency matters, including adoptions. Divorce Proceedings

Missouri refers to divorce as a “dissolution of marriage”. Dissolution cases are initiated by filing a Summons and Complaint along with the domestic relations filing fee of $137.00. Interested parties seeking copies of a divorce decree — which includes the full terms of the judgment and any agreements — should contact the Circuit Clerk’s office. Certified divorce statements (containing only the couple’s names, divorce date, and recording county) can be ordered from the Missouri Department of Health and Senior Services (process described below).

Marriage Licenses and Certificates

The Cole County Recorder of Deeds issues marriage licenses and maintains marriage records. A marriage license costs $51.00. Certified copies of a marriage license cost $9.00 each. If a license is lost or damaged before the ceremony, a replica bearing the original issuance date can be obtained for $10.00.

Birth and Death Records

In Missouri, vital records are not open to the general public. Under Section 193.255.1, RSMo, and 19 CSR 10-10, only individuals with a “direct and tangible interest” — such as the registrant, a parent, a legal guardian, or a legal representative — may obtain certified copies. Other requesters must demonstrate that the record is needed to protect a personal or property right.

The Cole County Health Department issues certified copies of birth and death certificates for events that occurred in the county.

In-person requests are processed same-day at the Cole County Health Department, 3400 West Truman Boulevard, Jefferson City, MO 65109. Walk-in applicants must complete an application and present a valid photo ID (state driver’s license, U.S. passport, military ID, school ID with photo, or verifiable work photo ID). Payment is accepted by cash, check, or money order. If no primary photo ID is available, two alternate forms of identification — such as a Social Security card, utility bill, insurance document, or government agency letter — are required.

Mail requests must include a completed application (notarized), a self-addressed stamped envelope, and a check or money order payable to the Cole County Health Department. Cole County Probate Court Records

The Probate Division of the Circuit Clerk’s office manages cases involving property belonging to minors, deceased persons, and individuals who are mentally or physically incapacitated. Specific matters handled by this division include decedent’s estates, guardianships, conservatorships, 96-hour mental health commitments, and related proceedings. The division also mandates annual accounting of all minor and decedent estates and mails compliance forms to responsible parties each year.

Probate dockets and entries of court activity can be reviewed on Case.net for most cases. In-person record inspection is available at the clerk’s office during regular courthouse hours (8:00 AM – 4:30 PM). Court forms for probate filings — including petitions for letters of administration, inventory forms, and annual settlement documents — are available through the Missouri Courts probate forms page or by contacting the Probate Clerk.

The guardian and conservator appointment process is outlined on the Cole County website. Any interested person may petition the probate court for appointment as guardian or conservator. Required steps include filing the petition, paying applicable fees, and attending court hearings as scheduled.

Juvenile proceedings that overlap with probate jurisdiction — particularly adoption cases — are maintained by the Juvenile Division. Some juvenile records are closed to public inspection by law; contact the Juvenile Division at the Circuit Clerk’s office to determine whether specific records are available.
